The Elite Development Project is committed to protecting the personal data of our players, parents/guardians, and staff. 1.  Data Controller & Data Processors

The Elite Development Project is the data controller for all personal data collected from players and parents/guardians in connection with the Elite Development Project activities.

We work with third-party platforms to provide coaching, analysis, registration, and payment services. These partners process personal data on our behalf as data processors or, in some cases, as joint controllers:

  • Hudl – coaching and performance analysis platform
  • 360Player – player development, registration, communications and administration platform
  • Pebble – registration and payment processing

These third-party platforms have their own privacy policies and take responsibility for the secure handling of the data they process. By enrolling your child, you acknowledge that their personal data will be processed via these platforms in line with their privacy policies and for the purposes described in this Privacy Policy.

2.  Personal Data We Collect

We collect the following categories of personal data:

  • Player information: Name, date of birth, medical information, allergies, session attendance, performance data
  • Parent/guardian information: Name, contact details (email, phone, address)
  • Emergency contacts: Name, contact details (email, phone, address)
  • Payment information: Processed via third-party platforms (Pebble, 360Player, Pixieset)
  • Images and videos: Coaching and performance footage, and, where consent is given, marketing photos/videos

3.  Lawful Basis for Processing

We process personal data on the following lawful bases:

  • Contract: To deliver Elite Development Project activities, coaching, and registration services
  • Consent: For marketing, health & safety, promotional content, and optional media usage
  • Legal obligation / Vital interests: To safeguard the welfare, health, and safety of players

Parents/guardians may withdraw consent for marketing at any time, but mandatory coaching and analysis footage is required for participation.

4.  How We Use Your Data

We use personal data for the following purposes:

  • Managing enrolments, payments, and attendance
  • Delivering coaching, analysis, and player development
  • Communicating updates to parents/guardians
  • Ensuring player health, safety, and safeguarding
  • Complying with legal and regulatory obligations
  • Marketing and promotional activities (only with consent)

5.  Sharing Personal Data

We may share personal data with:

  • Hudl and 360Player – for coaching and player development
  • Pebble – for registration and payment processing
  • Venues, leagues or competition providers – where necessary for competition, health, or safety purposes
  • Regulatory or safeguarding authorities – in cases required by law We never sell personal data to third parties.

6.  Data Retention

Personal data will be retained for the duration of the player’s participation and for up to 3 years after they leave the Elite Development Project, unless longer retention is required by law (e.g., safeguarding or financial obligations).

Coaching footage will be retained for the duration of participation and may be deleted on request once the player leaves, except where required for safeguarding or performance analysis purposes.

Parents/guardians have the following rights under UK GDPR:

  • Access the personal data we hold about their child
  • Request correction of inaccurate or incomplete data
  • Request deletion of personal data (subject to legal/contractual obligations)
  • Restrict or object to processing of personal data
  • Receive a copy of personal data in a portable format, where applicable
  • Withdraw consent for marketing or promotional purposes at any time
  • Lodge a complaint with the Elite Development Project directly with the Information Commissioner’s Office (ICO)

8.  Security of Personal Data

Elite Development Project takes appropriate technical and organisational measures to protect personal data from unauthorised access, loss, or misuse. Access is restricted to the Elite Development Project staff and authorised third-party service providers.

9.  Children’s Data

The Elite Development Project’s activities involve children under 18. Parents/guardians are responsible for providing consent for the collection and processing of personal data for their child. All mandatory coaching and analysis footage is required for participation; marketing consent is optional.

10.  Changes to This Privacy Policy

Elite Development Project may update this Privacy Policy from time to time. Parents/guardians will be notified of material changes. Continued participation after changes constitute acceptance of the revised policy.
